Production Transport Briefing Checklist for Retained Chauffeur Hire
Before a production chauffeur arrives, confirm the collection entrance, passenger and equipment load, standby position, booked hours and person authorised to change the plan. A postcode and a call time alone leave important parts of the working day unresolved.
This production transport briefing checklist is for TV and advertising site managers, location teams and production coordinators booking retained executive chauffeur support. It draws on MCR EXEC’s production work, including a DAZN promotional shoot involving a customised Mercedes V-Class across two filming days.

1. Define the retained chauffeur’s working hours
Decide whether you need a single transfer or a vehicle that remains available between movements. A fixed hotel-to-studio journey may suit a transfer. Several filming locations, changing departure times or production bags remaining onboard may call for retained hire.
With full-day chauffeur hire, the vehicle and chauffeur are reserved for agreed hours. Waiting between movements forms part of that booked period. The service starts at the selected booking time.
State the first collection, time required at location and expected release time separately. Allow for loading before departure. Confirm the included mileage, parking arrangements and procedure for requesting extra hours. An extension depends on availability and agreed charges.
2. Brief the Mercedes V-Class around the actual load
The Mercedes V-Class is the most popular choice among MCR EXEC’s production clients. Provide the passenger count alongside photographs or dimensions of the equipment cases and luggage travelling with them.
A seating figure alone does not establish whether a particular booking will fit. Standard and customised V-Class layouts differ, and a customised interior can reduce luggage space. Confirm the combined load before allocating the vehicle.
An E-Class or S-Class may suit an individual production lead or guest. Specify who is travelling, what accompanies them and whether those requirements change during the day so we can discuss the appropriate vehicle.
3. Agree collection access and the standby position
Give the chauffeur the approved entrance and an arrival contact. A building’s public postcode may lead to reception rather than the entrance the production intends to use.
Send the address, entrance map pin and any gate instructions.
Confirm who will meet the vehicle and their working mobile number.
Flag access restrictions and any advance vehicle registration requirement.
Agree where passengers and cases will be ready for collection.
Confirm where the vehicle can wait between movements.
If standby parking is away from the filming location, agree how much notice the chauffeur needs to return. The production contact should confirm access and parking permission with the site.
4. A DAZN booking: why the vehicle’s role matters
For a DAZN boxing promotional shoot, MCR EXEC supplied one customised Mercedes V-Class on each of two filming days. The brief included a Manchester city-centre collection for filming in Mobberley, with a separate day in Birmingham.
The chauffeur remained on standby between movements, helped with loading and unloading and stayed with equipment left onboard. These were arrangements for that booking, so similar requirements should be discussed explicitly when preparing a new brief.
The practical point is to describe what the vehicle must do between journeys. If equipment stays onboard, confirm who needs access, where the vehicle will wait and whether the chauffeur must remain with it. Agree any handling, attendance or insurance requirements before the booking.
5. Allocate each vehicle across every shoot day
MCR EXEC can discuss multi-vehicle and multi-day requirements, subject to the itinerary and availability. Send the whole schedule together, including days when passenger numbers, vehicle requirements or locations change.
Give each vehicle its own passenger group, equipment allocation, first collection and release time. If one vehicle leaves on an airport transfer, make clear whether another must remain at the filming location.
Flag any preference for the same vehicle or chauffeur across the booking. Continuity needs to be confirmed against the complete schedule.
6. Give one coordinator authority to amend the brief
Nominate a primary production contact and a backup. State who can approve additional stops, a revised collection point or extra hours. Share only the call-sheet details needed for the movements, together with relevant site instructions.
When the schedule changes, identify the affected vehicle, new location and revised time in one message. Ask for acknowledgement before relying on the change. Raise a possible overrun early so availability can be checked.

Friendly, efficient and professional.
I booked MCR Exec to pick us up from home, stop off en-route to collect my mother (and my rather voluminous wedding dress!) and take us to a hotel the night before our wedding.
Getting a quote and booking was really efficient - I requested a large vehicle and was assigned a Mercedes V Class, which was perfect and roomy for us.
Most importantly, I wanted a reliable pick-up, with a clean car and guaranteed air-con. We experienced all three, and our driver Billy was so helpful in making sure out dress bags were kept crease-free! He drove carefully and gave us bottles of chilled water, which made the hour journey very comfortable.
I was really pleased to receive such good service and while it was more expensive than pre-booking a cab via an app, we arrived earlier than our ETA and the whole experience gave me peace of mind. A luxury service that I’ll be passing onto my company as a recommendation for Exec travel in the future. Thank you.
