01 · Booking & accounts

How bookings are managed.

The more complete the itinerary, the better we can plan the correct vehicle, collection and onward travel.

What do you need to confirm a booking?

Share collection and destination addresses, dates and times, passenger numbers, luggage, preferred vehicle and any relevant travel information. Airport bookings also need the flight number and lead passenger details.

When is payment taken?

Standard bookings are paid before travel. Some corporate clients operate under agreed account terms; other business bookings may be issued with a pro-forma invoice before service. Card authorisation and collection are handled securely through Stripe. Where cleared funds are not received or payment cannot be collected, the journey cannot be provided.

Can a company set up an account?

Yes. We start by understanding journey types, frequency, travellers, vehicle needs and booking processes. Credit terms may be considered after an established working relationship, normally following an initial three-to-six-month period. Read about corporate and trade accounts.

Can EAs, PAs and travel managers book for others?

Yes. A nominated contact can coordinate bookings for executives, colleagues or guests. Account arrangements can also include portal access, designated permissions and invoice visibility where agreed.

02 · Collections & waiting

A clear plan for every collection.

Flight tracking supports the service, but the selected collection time on the booking remains the basis for complimentary waiting.

Is meet-and-greet included?

Yes. Every airport collection is a meet-and-greet. Your chauffeur waits with a digital name board and the specific collection instructions are confirmed before travel. At Manchester Airport, international arrivals are usually met near Starbucks and domestic arrivals near Costa Coffee.

How is airport waiting time calculated?

Airport bookings include up to 60 minutes’ complimentary waiting from the time selected when the booking was made. We track flights and, where operations allow, may adjust positioning or timing using live arrival information.

What about train stations, hotels and normal collections?

Non-airport collections, including train stations, hotels, private addresses and standard pickups, include up to 30 minutes’ complimentary waiting from the selected booking time.

What happens after the waiting allowance?

Where possible, we may extend the wait and apply the relevant waiting charge. If this would adversely affect the chauffeur’s next commitment, the booking may have to be classified as a passenger no-show.

03 · Fleet & luggage

Choose the vehicle around the journey.

Luggage size and shape can vary. Tell us about cases, carry-on bags, equipment or child seats before confirmation so we can allocate appropriately.

What fits in a Mercedes E-Class?

The E-Class is generally suitable for up to two medium cases and two hand-luggage bags. It is best suited to one or two passengers with normal business or leisure luggage.

What fits in a Mercedes S-Class?

The S-Class is generally suitable for one medium case and two hand-luggage bags. It is chosen primarily for comfort, privacy and presentation rather than high luggage capacity.

What fits in a Mercedes V-Class?

The V-Class is generally suitable for up to five medium cases and five hand-luggage bags. It is a practical option for families, small groups and airport journeys with additional luggage.

What about the customised V-Class?

The customised V-Class prioritises enhanced passenger comfort and cabin specification. It is generally suitable for up to three medium cases and two hand-luggage bags, so it is not the ideal choice for larger airport luggage loads.

04 · Journey types

Travel that needs more coordination.

The same pre-booked approach applies across corporate programmes, private aviation, events and more specialised travel.

Is hourly chauffeur hire suitable for changing diaries?

Yes. Hourly hire keeps the chauffeur and vehicle available for the reserved period, which is useful for meetings, roadshows, venue changes and other flexible schedules. See hourly chauffeur hire.

Can you support private jet and FBO arrivals?

Yes. We coordinate pre-booked private aviation collections around the information supplied by the booker, passenger or handling team. Visit the private jet chauffeur service.

How are tours, golf trips and multi-day hires arranged?

These journeys need earlier planning because vehicle and chauffeur allocation is more involved. Share dates, route, accommodation, passenger numbers and schedule so we can structure the itinerary. Explore private chauffeur tours and North West golf tours.

Can you arrange transport for events, hotels and productions?

Yes, subject to advance booking and availability. We support planned journeys for hotels, events and production movements, with timings and vehicle requirements agreed in advance.

Do you offer boarding-school and college transfers?

Yes. International arrivals, term-time collections and UK transfers can be planned in advance. Passenger contacts, luggage and safeguarding requirements must be clear at booking. Read about boarding-school and college transfers.

Do you provide non-emergency medical travel?

Yes, for pre-booked travel to private hospitals, clinics and appointments. This is chauffeured transport only; it is not an ambulance, emergency service, wheelchair-accessible service or a substitute for clinical support.

05 · Changes & terms

Clear procedures, before travel.

We will accommodate reasonable changes where we can, but the confirmed journey and the wider schedule must remain workable.

What is the standard cancellation period?

Standard transfer bookings require at least 24 hours’ notice. Cancellation conditions are confirmed for the specific service at the time of booking.

Why do some bookings have longer cancellation terms?

Private tours, golf tours, multi-day travel, multi-vehicle work and similar journeys require earlier driver and vehicle allocation. Their cancellation period may therefore extend to five or seven days.

Can I amend a confirmed journey?

Contact us as early as possible. We will assess the revised time, route, passengers and vehicle requirement against availability and the chauffeur’s existing schedule. Changes cannot be guaranteed.

What happens after payment and allocation?

Once payment has been taken and driver or vehicle allocation has been made under the agreed booking terms, refunds are not available. This reflects the resources already reserved for the journey.

Important: Procedures, vehicle allocation, availability and charges can vary by journey type, timing and operational requirements. The booking confirmation and agreed terms always govern the service.
